Finding you a fairer deal

Your cleaning contract is up for renewal. Standards have been slipping, and costs keep going up. Sound familiar? Most schools run a cleaning tender once every three or four years, but often don’t have the dedicated resources required to manage them effectively.

We manage cleaning tenders for schools and multi-academy trusts from start to finish. We work exclusively in education, and our job is simple: a cleaner school at a fairer price.

What goes into a school cleaning contract?

A school cleaning contract sets out exactly what your cleaning provider delivers, when, and to what standard. A good one covers the full scope of your site: classrooms, toilets, halls, kitchens and communal areas, plus periodic deep cleans and holiday work. It should specify scheduling around the school day and term dates, safeguarding requirements such as enhanced DBS checks and site access protocols, and clear quality standards with a way to measure them.

Vague contracts cause problems. Without a detailed specification, measurable KPIs and transparent pricing, you have no real grounds to challenge poor performance. We help you ensure your specification is right from the outset.

When should you start the tendering process?

Most school cleaning contracts run for three years, often with the option to extend. We’d recommend starting the cleaning tendering process six to nine months before your current contract expires. That gives you time to review what’s working, build a proper specification, run a compliant tender and mobilise the new provider without a gap in service.

If staff will transfer between providers under TUPE, you should build in extra time. Rushed tenders favour the incumbent, and that’s rarely where the best value is.

Catering tendering and evaluation makes a difference icon.

A clean school is a healthier, safer place to learn. We make sure your cleaning provider keeps every classroom, washroom and communal space to the standard your students deserve, and we put the KPIs in place to keep it that way long after the contract is signed.

Save staff time

Save staff time with catering tendering and evaluation.

Running a compliant cleaning tender is a serious drain on a business manager’s week. We handle the whole process from specification to mobilisation, giving your staff their time back to spend on students rather than supplier negotiations.

FAQs

Can’t find the answer you’re looking for? Get in touch and our team will be happy to help.

We begin by working closely with your stakeholders to understand your specific cleaning requirements, including service scheduling, Ofsted considerations, sustainability goals and budget constraints. We then draft the tender documents, engage suppliers and manage the full evaluation process through to contract award.

We prepare all necessary tender documentation, including a Request for Proposal (RFP) and Invitation to Tender (ITT), setting out your service specifications, evaluation criteria, timelines and terms and conditions.

Our evaluation process includes assessing submitted bids against your specification, conducting negotiation and clarification with shortlisted suppliers, and applying our procurement expertise to ensure the winning supplier represents genuine value and quality.

We support the implementation phase to ensure a smooth transition to your new cleaning provider, and carry out a post-tender review to confirm the service is being delivered as agreed.

We never use a one-size-fits-all approach. Cleaning needs vary significantly between schools, and we spend time understanding your unique requirements before building a tender that genuinely reflects your values and priorities.
